JOB TITLE: Fleet Coordinator
STATUS: Full Time Non-Exempt
DEPARTMENT: Operations
SUPERVISOR: Distribution Manager
HOURS: Monday through Friday, 7:30am – 4:30pm w/ lunch break (Occasional after hours and weekend work as needed – call out by mobile phone)
COMPENSATION: $25.00-$30.00/hr

We are currently looking for a Fleet Coordinator to take the coordination of the JB Dewar fleet to the next level of planning and continuous improvement. This individual will coordinate vehicle maintenance for the JB Dewar fleet and implement continuous improvement efforts so we can increase the efficiency of our fleet. This role is critical to the business running smoothly, consistently, and effectively.

JB Dewar’s Operational Excellence Program ensures, preventive maintenance on the fleet is consistently conducted and tied to profitability and efficiency, as it lowers repair costs and keeps trucks on the road. All equipment performs at optimal levels to additionally support the customer experience. The fleet coordinator is responsible to strategically improve efficiencies and save money, maintain safety, and enhance fleet performance. A program is designed to increase accountability and ensure all company vehicle operators are treating their company vehicles and equipment as if it were their own. All equipment, fleets, and facilities are clean and highly functional.


  • Coordinate the maintenance & repair of the JB Dewar fleet of vehicles that includes Fuel & Lube Delivery vehicles & light duty cars and trucks.
  • Implement continuous improvement initiatives to continually improve how we maintain and utilize our fleet.
  • Facilitate the creation of ideas to continuously improve the maintenance and use of the JB Dewar fleet.
  • Maintain fastidious records for the maintenance of the JB Dewar fleet.


  • Purchasing related to vehicle maintenance, including collecting quotes for service, PO creation and shopping with our JB Dewar customers.
  • KPI tracking, trend interpretation and summary for Management related to the JB Dewar fleet.
    • Spend per type of vehicle
    • Tire wear
    • Cost of extraordinary repairs and age of vehicle to forecast replacement
  • Monitor best practices and changes in vehicle maintenance & use procedures and create/adjust the SOP documentation to ensure they are implemented by staff at all levels.
  • Analyze our vehicle procedures and forward suggestions for improvement to the appropriate Manager.
  • Responsible for tracking and scheduling maintenance and repairs of JB Dewar fleet, including trucks, passenger vehicles, forklifts, fuel & flatbed trailers.
  • Review and tracking of DVIR’s and related repairs and expenses
  • Manage, schedule, and attend to compliance related items such as BIT, CHP, Cargo Tank Inspections, Smoke Tests, etc.


  • Assess tire program to improve tire life, recommend tire brands, monitor air pressure & rotations
  • Extend oil change service life on vehicles, run oil analysis, test air filters for longer life
  • Bid out all service work
  • Alternative fuels for company vehicles, research, make recommendations
  • Data and analysis with reporting
  • Ensure vehicles cleanliness is maintained to a superior level

  • 2 years’ experience in operations/purchasing/fleet support.
  • Continuous improvement mindset.
  • Superb written and verbal communication skills.
  • Excellent organization skills and the ability to coordinate multiple projects at once.
  • Strong time-management skills.
  • Proficiency in Microsoft Office and aptitude to learn new software and systems.
  • Flexible team player who can solve problems and is willing to do what it takes to get the job done; adaptable and enjoys a challenge, works well with others, willing to learn.

Desired Skills and Qualifications – Will provide training and support to accomplish if needed.

  • Desired previous experience as a mechanic, service writer or supervising a fleet of vehicles.
  • Desired to have Commercial Driver’s License with required endorsements to help aid in efficient vehicle movement.
